Expanded Workflow Functionality Simplifies Automation with New and Updated Triggers

Collecting data with dynamic digital forms has the power to transform your business. Adding automation once the data has been collected makes an even bigger impact. Many GoFormz users use Workflows to automate their vital business functions. With GoFormz Workflows you can automate a wide variety of tasks, like routing data to other apps, syncing your databases, and so much more.

A Workflow within the GoFormz platform is simply a repeatable automated process. Workflows can be used to automate a wide range of tasks, including routing form data to other apps, using external data to launch and pre-fill forms, syncing GoFormz DataSources with external databases, and more. These automations can even be triggered when a form completes, can run on a set schedule, or can be triggered by external events.

A number of Workflow Triggers have recently been updated to include wider functionality in order to make automation even more powerful. Available via Workflow Recipes, ProServices or Custom Workflows, updated Triggers include the “Form Completed Trigger”, which can be used when a user hits ‘Complete’ and the form is successfully completed, the new “Receives a Transferred Form Trigger”, which can be used when a user receives a form from a form transfer, and also the updated “Public Form Submitted Trigger” which can be used when a Public Form is submitted for a form owned by the user.

  1. The Form Completed trigger has been expanded, and now includes a “completed by” component. This allows users to select if the Trigger is set in motion based on being completed by anyone within the organization, a designated specific user, or a user group. Users can now mark this Trigger to only run after the first completion status. If it was completed then opened up again as draft & completed a second time, users can opt to only have it run after the first completion.

  2. The Public Forms Submitted Trigger has also been expanded to include an “owned by” component. This allows users to indicate whether this form is owned by a specific user, anyone in the organization or a user group. 

  3. Finally, the Receives a Transferred Form is a brand new Trigger. This trigger enacts when a form is transferred to a different user. Users can select whether the form is transferred to anyone in the organization, or to a specific user or group.

Each of these Workflow Triggers provides infinite potential uses. For example, one could use a Trigger to automate the delivery of completed work order to the customer email entered within the form. In this scenario, the completion of a work order acts as the Trigger, with the action being the email delivery of a PDF copy of the completed form.
