Leaving Paper Problems Behind with GoFormz

The major challenges encountered before using GoFormz

It’s a night and day difference when companies switch from paper to digital. Mobile forms are on the rise, and for good reason. With platforms like GoFormz, companies report significant improvement in productivity. But don’t just take our word for it, take a look at the numbers.

We conducted a survey of our customers' experience going from paper to digital. We asked about their most common paper problems, reasons for going digital, and much more. These responses gave us valuable insights into the customer journey. Respondents span across 14 industries and 5 countries, with 75% of respondents working at a company of 50+ employees.

Paper Problems and the Need to Go Digital

1. Lost, Damaged, and Late Reports

In our survey, over a quarter of respondents reported lost, damaged, and/or late reports. Their traditional pen-and-paper methods often caused delays in decision-making and hindered team communication. This pushed back important deadlines and projects, and slowed their overall business, limiting profitability.

2. Manual Data Re-Entry

Manual data re-entry is not only time-consuming but prone to errors. In our survey, 26% of respondents checked manual data re-entry as a major challenge. To make the most of the information captured on paper, it required manually translating this information into other digital systems, from invoicing to payroll. Not only did it require additional time, but also the mistakes could have substantial impacts on the business.

3. Missing or Inaccurate Data

With paper-based processes, missing or inaccurate data was common among respondents. Their paperwork was often incomplete and full of errors, like illegible handwriting. This hindered the ability to gain insights to make informed decisions, while limiting the business’s ability to complete its work.

4. Lack of Real-Time Insights

In today’s same-day delivery world, real-time insights are crucial for staying competitive. Yet, our respondents reported that their paper-based forms offered little visibility. Decisions had to wait for data to be collected by hand, causing delays and missed opportunities.

Primary Reasons for Using GoFormz

1. Desire to Leverage Tech

Over a quarter of respondents recognized the need for technology in their day-to-day operations. Finding a user-friendly digital solution was a top priority. With GoFormz, users can convert a PDF to a fillable form or create one from scratch in our drag-and-drop form builder, making it easier to bring technology into their existing processes.

2. Need for Better Reporting

In our survey, 23% of respondents reported a need for better reporting. Effective reporting is essential for understanding performance and making strategic decisions. However, paper-based processes lacked the capability to create timely and accurate reports.

3. Compliance Requirements

For industries with strict compliance requirements, traditional paperwork often posed significant risks. From governance and oversight to privacy concerns, it was difficult to ensure compliance with existing paper processes.

4. Improve Collaboration

Our respondents reported their collaboration was limited with paper-based processes. Sharing information required physical hand-offs, which led to delays in communication and a disconnect between multiple job sites and remote workers. With GoFormz, businesses were able to improve their communication significantly with real-time insights and automatic emails.

Going Paperless with Digital Forms

Beginning a digital transformation sounds daunting, but as our survey respondents can attest, it’s much more frightening to maintain the sloth’s pace of paper processes. Whether you’re in need of offline capable mobile forms for your construction teams, or a digital sign-in sheet template for your volunteer organization, digital forms can help propel your business forward.
