ProTip: Mastering GoFormz Audit Logs Before Tax Season

Are you leveraging these features in GoFormz to track and monitor your digital forms?

Audit season is here, is your business ready? Conducting audits is an integral aspect of business operations, and often not the most enjoyable part. Whether facing audits from government or industry entities, or undergoing internal process audits, they can be intimidating. However, they shouldn’t impede your business or consume excessive time to do.

Transitioning from paper to digital forms with GoFormz can significantly enhance the audit experience. Here are some best practices to ensure your digital forms keep your entire business constantly prepared for audits, especially before tax season.

Three Important Features for Auditing Purposes

Template Versioning

What is Template Versioning?

Template Versioning allows users to Publish updates to their form Templates. Each time a Template is Published, a new version becomes available for future forms to be created from. NOTE: These published changes do not impact forms created from the original version of the Template.

Why is this feature important?

This feature enables users to customize their Templates without the potential loss of data stored in forms created from earlier Template versions. For instance, without Template Versioning activated, deleting certain fields within a Template could jeopardize the data previously collected in those fields and cause confusion during an audit at a later time.

Workflow Versioning

What is Workflow Versioning?

Workflow Versioning is a powerful feature that allows users to create comprehensive audit trails by automatically saving each version of their Workflow when a change occurs.

Note: The history of each Workflow can be found in the GoFormz Web App on the Workflow page or by clicking into each individual Workflow.

Why is this feature important?

This feature allows for deeper insight and transparency into these automated daily tasks while creating audit trails of each Workflow to see who created a new version, the date and time when that version was created, and can also access a read-only view of each specific version in the Workflow Editor within a new tab.

eSignature

What is eSign?

The eSign fields allow you to collect legally binding, E-SIGN Act-compliant signatures in your digital forms. These fields meet both E-SIGN Act and UETA requirements but always check with local and industry regulations to confirm that your exact use case is compliant. Unlike the Digital Signature field, these fields are only available for trial and paid accounts: our Team, Advanced, and Enterprise tiers.

Why is this feature important?

Electronic signatures keep your team nimble – they can be collected instantly, referenced in real-time, and used to reduce time-wasting administrative tasks. With eSignature, not only are users collecting legally binding forms and expediting contracts and approvals, but establishing a signature audit trail in the process.
