One of the first questions people ask when beginning the process of replacing their paper forms with mobile forms is, 'what's the best way to create awesome mobile versions of my forms?' Below are some key questions to consider asking yourself, and our answers based on best practices that we have compiled over the years:
How important is preserving your existing layout?
Many businesses have been using the same paper forms for years if not decades. Their service team/technicians - the people filling the forms out - are use to the traditional look and feel. It’s a familiar dailey tool. Making them use a whole new layout may unessarily disrupt their daily tasks (causing a negative impact) and may lead to costly training on a new format. It may even break existing dependencies and workflows that are hard to identify.
What new types of data do you want to capture?
Because Mobile forms are filled out on tablet devices like iPads, you can now easily include new data types like GPS, maps, date/time and camera images. These new types of data can provide a whole new level of information in your forms. Consider which ones you might want to augment your forms with.
What are your considerations for Cloud Storage?
When you use mobile forms, you can leverage storing your forms and form data in the cloud. You can easily retrieve and run reports on them. You should consider naming conventions, tagging and other standard user permissions that best fit your needs.
What workflows should you set up?
Mobile forms provides endless opportunities to automate workflows. For example, you can now instantly submit completed forms for review/processing (instead of having to manually turn in a form). You can also automate emailing copies of a form to your customer or managers. Mobile Form Platforms also allows you to sync your data with other systems like Salesforce and Box. Consider which workflows you can optimize with Mobile Forms.
What calculations and conditional logic should you implement?
Now that you can automate calculations in mobile forms, you don’t have to do the math anymore. When setting up a mobile form, be sure to embed formulas for automating your totals, scores, and percentages. With conditional logic, based on what is entered in one field, the mobile form can populate multiple fields with appropriate corresponding values. (For example, enter a company name and the form populates address, phone, and email.) You can also enforce business rules by making fields conditionally required or even hidden based on values entered in specific fields.

Don’t worry, no features are being removed, in fact, there are a few new features and improvements rolling out.
New Form Editor
A simple but significant usability improvement we are adding is how you view multiple pages while editing your forms. Previously you had to click to view subsequent pages. Now all pages of your form are available as you scroll through. Additionally, renaming, duplicating and editing forms is simpler, and the form status is visible in the Form Editor.
Forms Listview Improvements
The Forms Listview now has additional date and time context as well as time range filtering. When clicking the filter icon, filters are now in their own separate panel for you to choose how you would like to filter the forms in your listview. We will be releasing many more attributes to filter-by this year.
For Power Users
You can now trigger a search with the “/” key, and toggle your Filter panel open with the “F” key.

A Vehicle Inspection form on an ipad or android device (or really, any smartphone or tablet device) empowers you to capture more information and in greater detail than on a paper form. As a mobile form, the vehicle inspection form quickly captures visual information, highly accurate numeric and text details, and has built-in workflow and routing that streamlines your record keeping process.
- Text and Number fields are used to capture specific details of the vehicle needed for record keeping such as a VIN number.
- Sketch fields allow the inspector to visually reference points of interest by simply drawing over a 4-angle car diagram.
- Image fields allow for photos to be added on the form for a visual record of any damage, wear and tear, etc.
- Once the form is properly filled out, the inspector can type in a few quick notes, sign, date and complete the form. An automatic workflow can email a copy of this form to the appropriate party.

Just as important as all of these benefits are to companies, GoFormz helps the world by reducing paper waste.
Using our platform, the GoFormz community of partners and customers have processed 15,639,534 forms through our system. That’s 16,639,534 sheets of paper that weren’t used for business forms.
According to Tom Soder’s study, reported in Claudia Thompson’s book Recycled Papers: The Essential Guide, a single tree provides about 8,333 sheets of paper. Dividing that number into 15,639,534 forms shows that we have saved over 1,876 trees!
To provide perspective, that is roughly 7% of the trees in New York’s Central Park.
