ProTip: Simplify Collaboration with Group Form Transfers

GoFormz workflow Automation provides an efficient way to transfer a form from one User to another User or Group, automatically, based on various Triggers.

Example Use Case
Some forms need to be processed by several different teams before they can be completed. For example, a dispatcher may begin filling out a work order form by entering a customer’s information and request, and then transfer said form to a field technician to enter the work they performed onsite and a supervisor may finish the process by approving and signing the form. Instead of having each user remember who needs to get the form next, it’s far easier to set up an Automatic Workflow to Transfer the form.

Setting up an Automated Workflow to Transfer forms to Groups
To set up an auto-Transfer for a specific form Template, follow the steps below:

  1. Navigate to the Templates Tab and click the form Template for which you want to set up auto-Transfer rules.

  2. Once the Template Editor launches, select the Manage Events link.

  3. When the Manage Events Window opens, click the Add Trigger button to create a new event, or select an existing event to edit it.

  4. In the When This Happens section, configure the event Trigger by selecting a Group and a Trigger. In this example, the event will trigger when any user in the Field Techs Group completes a form.

  5. Select Transfer from the dropdown under Do The Following.

  6. In the Transfer To dropdown, select the Group that should receive the transferred form. In this example, the form is transferred to the Supervisors group for approval. Note that when a completed form is transferred, it becomes a draft form in the new user’s account.

  7. Click the Save Changes button at the bottom of the Template Events window to complete the Transfer automation process.

Now, when a member of the Field Tech Group completes a form, that form will be automatically transferred to a member of the Supervisor Group for approval.
