Can Data Sources be used in shareable, Public Forms?

Yes! Your Data Sources can be used within Public Forms, allowing users to leverage Database fields – even users outside of your GoFormz account. 

Collect data from users outside of your GoFormz account

Public Forms allow GoFormz users to easily share editable mobile form drafts with users outside of their account, no matter their location. This means that a customer, partner, or other users outside of your GoFormz account can input information into specified fields within a GoFormz mobile form draft. For example, a Public Form could be shared with only the Signature field made editable, ensuring only a Signature is added to the form. Your Public Forms can also be equipped with expiration dates, allowing GoFormz users to specify how long third-party contributors can access the Public Form

Database fields can be used to auto-populate corresponding form fields, or to present specific options to a user, based on input data or a selection in another field. This is made possible by Data Sources, which act as simplified database tables, and can be referenced by form fields to provide a powerful way to simplify data capture and increase accuracy. For example, a user could:

  • Select a customer name from a Drop Down menu and instantly populate their phone number, email, and mailing address.

  • Scan a Barcode and instantly populate a product’s name, SKU, and price.

  • Select the name of a product from a Drop Down and view a tailored list of that product’s different models.

Enabling a specific Data Source for use within Public Forms is easy and can be modified at any time, simply follow the steps below:

  1. Log in to your GoFormz account from a computer. 

  2. Select the ‘More’ tab from the menu bar and click ‘Manage Data Sources’.

  3. A screen displaying a list of your Data Sources will load. Here you can easily create, manage, and delete your Data Sources. 

  4. Locate the Data Source you would like to use in your Public Forms, and toggle the ‘Public’ switch to the right. 

Database fields connected to this Data Source will now work for your Public Forms – allowing users outside of your GoFormz account to benefit from efficient, accurate, and complete data capture.
